Summary of Duties:
Reporting to the Manager, Corporate Records, this position performs various duties related to corporate records storage retrieval, document scanning and destruction and information collection. Distributes, collects and processes all corporate mail.
Work Performed:
- Receives, stores, retrieves and maintains inactive and permanent corporate records for all Service Areas.
- Sorts, delivers, and processes external and internal corporate mail.
- Processes and coordinates mail for courier services.
- Sorts, logs, circulates and files all mail and correspondence for the City Clerk’s Office.
- Performs related clerical duties. Orders and maintains office supplies.
- Completes records search inquiries requested by internal staff and members of the public.
- Assists with the City of London Art and Archival items.
- Coordinates records movement and storage with the external records storage provider and reviews invoice for accuracy.
- Processes destruction of physical corporate records, according to the Records Retention By-law.
- Assists with logging, scanning and maintaining Corporate agreements, contracts and deeds.
- Organizes and scans corporate correspondence and records into the document management system according to the Records Retention By-law.
- Updates records, mail manuals and guides on an as needed basis.
- Provides assistance during municipal elections as required.
- Performs related duties as assigned.
Qualifications:
- Completion of a one-year certificate in Office Administration or equivalent.
Experience:
- Three to six months of related experience including customer service.
Specialized Training & Licenses:
Skills and abilities in the following areas are necessary:
- Ability to use electronic record-keeping systems.
- Demonstrated effective customer service skills.
- Accurate keyboarding ability.
Compensation & Other Information:
$41,538 - $60,340 (Level 6)
This posting is for one (1) full-time position being filled on a temporary up to 2 year basis.
Current hours of Work: Monday - Friday from 8:30 a.m. to 4:30 p.m.
Work Arrangement: Onsite. Subject to change in accordance with business requirements.
These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
