Summary of Duties:
Reports to the Committee Secretary and to the Manager of Legislative Services. Performs various stenographic duties within established timeframes.
Work Performed:
Drafts agendas for Council, Standing Committees, Advisory Committees, Working Groups and Task Forces within established deadlines.
Arranges for printing and distribution of Council/Committee/Working Group/Task Force agendas.
Drafts elements of Council Minutes and Standing Committee Reports and correspondence using standard recommendations.
Produces report and resolution letters from Standing Committees and Council.
Arranges and confirms appointments and delegations for Council, Standing Committees, Advisory Committees, Working Groups and Task Forces.
Responds to telephone enquiries from public (i.e. ratepayers, committee members, organizations) and staff re Council and Committee resolutions, agendas, reports, mandates, etc.
Maintains up-to-date computer files and directories for Council, Standing Committees, Advisory Committees, Working Groups and Task Forces.
Maintains up-to-date official copies, and binders of agendas/reports/minutes of Council, Standing Committees, Advisory Committees, Working Groups and Task Forces.
Scans Agendas, Minutes and Reports for publishing to the City of London website.
Makes arrangements for audio visual equipment for meetings, as required.
Provides pre-meeting setup of Council Chambers and other Committee meeting rooms.
Qualifications:
One year of a two year Community College Office Administration Diploma.
Experience:
Six months to one year related experience.
Specialized Training & Licenses:
Skills and abilities in the following areas are necessary:
Demonstrated proficiency in wordprocessing, spreadsheets and various software.
Excellent verbal and written communication skills.
Compensation & Other Information:
$40,328 - $58,583 (Level 6)
This posting is for one (1) permanent full-time position.
Current hours of Work: Monday - Friday from 8:30 a.m. to 4:30 p.m.
Work Arrangement: On-site. Subject to change in accordance with business requirements.
These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
