Summary of Duties:

Reports to the Committee Secretary and to the Manager of Legislative Services. Performs various stenographic duties within established timeframes.

Work Performed:

  • Drafts agendas for Council, Standing Committees, Advisory Committees, Working Groups and Task Forces within established deadlines.
  • Arranges for printing and distribution of Council/Committee/Working Group/Task Force agendas.
  • Drafts elements of Council Minutes and Standing Committee Reports and correspondence using standard recommendations.
  • Produces report and resolution letters from Standing Committees and Council.
  • Arranges and confirms appointments and delegations for Council, Standing Committees, Advisory Committees, Working Groups and Task Forces.
  • Responds to telephone enquiries from public (i.e. ratepayers, committee members, organizations) and staff re Council and Committee resolutions, agendas, reports, mandates, etc.
  • Maintains up-to-date computer files and directories for Council, Standing Committees, Advisory Committees, Working Groups and Task Forces.
  • Maintains up-to-date official copies, and binders of agendas/reports/minutes of Council, Standing Committees, Advisory Committees, Working Groups and Task Forces.
  • Scans Agendas, Minutes and Reports for publishing to the City of London website.
  • Makes arrangements for audio visual equipment for meetings, as required.
  • Provides pre-meeting setup of Council Chambers and other Committee meeting rooms.
  • Performs related duties as assigned.

Qualifications:

One year of a two year Community College Office Administration Diploma.

Experience:

Six months to one year related experience.

Specialized Training & Licenses:

Skills and abilities in the following areas are necessary:

Demonstrated proficiency in wordprocessing, spreadsheets and various software.

Excellent verbal and written communication skills.

Compensation & Other Information:

$40,328 - $58,583 (Level 6)

This posting is for one (1) temporary full-time up to 2 years position.

Current hours of Work: Monday - Friday from 8:30 a.m. to 4:30 p.m.

Work Arrangement: On-site. Subject to change in accordance with business requirements.

These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.

NOTE: Applicants may be required to complete a job related test.
