Summary of Duties:

Reports to Manager(s) or designate and provides clerical and administrative support to managers and other staff in the division.

Work Performed:

  • Coordinates the administrative activities for managers by arranging meetings, booking facilities and equipment for meetings, receiving visitors, coordinating business schedules and processing mail, faxes and e-mails.
  • Creates and maintains files, records and follow-up systems and prepares files for records retention and archiving.
  • Prepares time records bi-weekly for program area.
  • Responds appropriately to internal and external inquiries, both verbal and written, and refers to the appropriate person or organization.
  • Takes minutes of meetings, transcribes, prepares drafts and types letters, reports, agendas and minutes. Processes, records and acknowledges receipt of written correspondence, where possible.
  • Prepares orders for supplies for assigned program areas in the Division and reconciles invoices with orders.
  • Operates standard office equipment.
  • Compiles weekly and monthly statistics and tracking systems for assigned program areas in various databases.
  • Communicates information to external and internal suppliers and providers for supplies and repairs.
  • Performs related duties as assigned.

Qualifications:

One year of a two year Community College Office Administration Diploma or equivalent. 

Experience:

Six months to one year related experience.

Specialized Training & Licenses:

Skills and abilities in the following areas are necessary:

Demonstrated proficiency in word processing, spreadsheets, and various software. Typing speed required is 50 w.p.m. Excellent verbal and written communication skills.

Compensation & Other Information:

$36,996 - $53,332 (Level 5)

This posting is for 1 permanent full-time position.

Current hours of Work: Monday - Friday from 8:30 a.m. to 4:30 p.m. 

Work Arrangement: On-site. Subject to change in accordance with business requirements.

These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
